A free poll to find dates for board meetings
To find dates for the year's board meetings, propose two or three dates for each meeting in one poll and send it to every director. Each one answers yes, if need be, or no against every date, and the poll shows which dates everybody can make.
Nobody needs an account to answer, and directors in other countries see every date in their own time zone.
What you get
A poll of dates or times: everybody answers yes, if need be or no against each one, and the best rise to the top.
How to run it
Propose dates a year ahead, a quarter at a time if that is easier, and set a deadline a fortnight away. Add every director as an invitee, so the poll can remind the ones who have not answered once, two days before it closes.
Keep "if need be" switched on. A director who can move something to make a date says so, and that is usually the answer that settles it.
Choosing
The best dates rise to the top as people answer. When you choose one, everybody who answered is sent the decision with a calendar file, and the people you invited who never answered are told too. If a date has to move later, choose again and the new calendar file replaces the old one.
A worked example
Nine directors, four meetings, three possible dates for each: twelve dates in one poll. Seven answer in the first week; the poll reminds the other two. By the deadline, three meetings have a date everybody can make and the fourth has one that suits all but one, who has said "if need be". You choose, and the year is in nine calendars by the end of the day.
Confidential boards
If directors should not see each other's answers, turn that off in the poll's settings; then only the organiser sees who said what.
