A free rota and roster sign-up sheet
To run a rota, list the jobs that go round, one person per turn, and let people take the turns that suit them from one link. A rota (or a roster, depending on where you work) filled in by the people on it is one nobody can say they were not told about.
This template starts with a week of kitchen, front desk, post and fire warden turns.
What you get
Times that need covering, each taking a set number of people.
This week
- Kitchen, Monday 1
- Kitchen, Wednesday 1
- Kitchen, Friday 1
- Front desk cover, lunch 1
- Post and deliveries 1
- Fire warden 1
The number beside a line is how many people it takes. Everything here is editable, and nothing has a date on it until you set one.
How to run it
Publish the week's rota on Thursday for the week after, and ask everyone to take at least one turn. Leave it open until Monday morning, then fill the gaps yourself; you can put anybody down from your own page.
Set a limit on how many turns one person can take if the same three people always volunteer. It is in the settings, and it is kinder than asking them to stop.
Swaps
Somebody who cannot do their turn changes it from the link in their confirmation. The turn opens up on the sheet straight away, so the next person who looks can take it, and you do not have to be the switchboard.
A worked example
An office of thirty with a kitchen that needs clearing three times a week, front desk cover at lunch, and the post. Six turns a week, thirty people: everyone does one turn every five weeks, and the sheet shows who did last week, so nobody does two in a row.
Give the turns real times and each person gets a calendar entry with a reminder, which matters more for fire warden than for the dishwasher.
A rota that lasts
Make next week's rota by copying this one. The jobs and the times come with it, and the names start fresh.
